Time and again, we face a situation that demands agility, preparedness, and the right set of talent that can solve technology issues within the organization. This case study discusses the fundamental problem that one of the clients, DPSI, faced in their organization. They had more than 40,000 records in their database, but some were duplicates. Our team had a task to eliminate redundant data and give them clean CRM to drive efficiency.
Problem Statement Our client DPSI wanted to upload around 45,000 records to their CRM that had contacts and company information. They already had half of the data in the system and wanted to create a new one for the CRM. The existing data had some missing fields in their system, and they wanted to add those to the records. It needed mapping the required fields to upload the bulk information in the current record using the ‘Import’ function.
Countering Setbacks The major loophole was to find a workaround where the contact information needed to match with the accounts (company name). On the other hand, CRM was unable to recognize the accounts the user was trying to associate with the contacts. There was no unique ID to identify the records required to associate with more than 150 fields across 22,000 records. The data in their system (Goldmine) and the CRM were out of synch. It led to missing out on crucial information that they were trying to update. Such a situation means they were unable to add the newly created records to their existing CRM. Also, the CRM was unable to identify the individual accounts having the same names but multiple entries (due to various branch offices). Some of the fields even had a typo that made the task to club multiple records under a single difficult. The user to import unique data and instead yielded redundant fields. It required a third-party tool to validate the fields. Initially, the developers took this challenge and researched for the suitable third-party tools we could integrate for this. Unfortunately, it was not possible to accomplish this task using any tools readily available.
